How can I book a conference room?

To ensure the right space and setup, we recommend speaking with our team of event space specialists. They’ll help you find the best option for your schedule, location, and layout needs.

You can also book directly through your Regus account. Simply select your location, date, time, and expected number of guests, then confirm any setup preferences with your center team.

Is it possible to change the room layout?

Yes. We’ll tailor the space to match your preferred format—whether that’s boardroom, theatre, classroom, U-shape, or a custom setup. Let us know your layout needs when booking or ahead of the event.

Will there be support available during my event?

Yes, our on-site team is available to assist throughout your booking. We’ll ensure the room is ready before your session starts and remain on hand for any technical support, refreshments, or last-minute adjustments.

Is catering available for conference rooms and event venues?

Yes. We offer a range of catering options to complement your conference or event—whether you need freshly brewed coffee and light refreshments or a fully catered lunch service. Please provide at least 24 hours’ notice. For larger events, additional lead time may be required to ensure seamless delivery.

What if my conference runs longer than expected?

If the venue is available after your scheduled time, we’ll be happy to extend your booking and adjust the cost accordingly. To help avoid disruption:

  • Consider reserving additional time when planning your agenda
  • Notify the center team in advance if you anticipate running over
  • Post-event discussions can often continue in our lounges or breakout areas

What is your cancellation policy for conference room and venue bookings?

You can cancel your conference room or venue reservation at no charge:

  • Within 2 hours of booking
  • At least 20 working days before your scheduled event

Cancellations made closer to the event may incur fees:

  • Full fee for cancellations within 4 working days
  • For bookings with 11–20 attendees: full fee with fewer than 9 days’ notice
  • For bookings with 21+ attendees: full fee with fewer than 19 days’ notice

What is the maximum capacity for conference rooms?

Conference room sizes vary by location. Most accommodate between 12 and 50 participants. Larger spaces are available in select centers—simply contact us to tell us your expected numbers and we’ll match you with the right venue.

Can I add company branding to the space?

Yes. In many locations, we can help incorporate your brand into the space—via welcome screens, signage, or event materials. Please coordinate with your center team in advance to review options.

Can I reserve a conference room for a full day?

Yes. Conference rooms can be booked by the hour, half-day, or full day, with built-in discounts:

  • Morning (9:00–13:00): 20% discount
  • Afternoon (13:00–17:00): 20% discount
  • Full day (9:00–17:00): 30% discount

Availability and hours may vary by center.

Can I host a conference outside of business hours?

In many locations, yes. Evening and weekend access is available to registered users, depending on local availability. Please contact us to confirm after-hours booking options.

Can I book a conference across multiple days?

Yes. For multi-day events, our team can help coordinate consistent access and setup across all days. We'll secure your space, ensure everything is prepared daily, and assist with logistics throughout the event.
